This position will provide general paralegal support to the legal department. This paralegal is a team player that demonstrates consistent high-level performance and maintains the utmost professional demeanor and highest level of confidentiality and trust.
MAJOR DUTIES AND RESPONSIBILITIES
Support Real Estate vaulting activity and reporting
Scanning and distribution to all related business partners
Create and maintain legal files - with current certified mail receipts/Notices
Close Legal Files - prepare for retention (on/offsite)
Prepare and manage final leases through complete execution phase
Redaction of Real Estate Base Leases/Lease documents - as requested by business partners (i.e. Sublease)
Manage distribution of legal department reporting; global litigation report, patent watch reports, quarterly contracts reports, weekly real estate reports
Provide administrative support to attorneys including travel, file management, word processing, scheduling, preparation of expense reports, ordering supplies
Processes settlement checks and fill check requests
Assist with Remedy requests and other technology issues (webinar, laptop, cell phone, headset issues)
Provide notary services
Mail collection and disbursements and subpoena pick up (HIPAA Privacy Office)
Assist in process of finalizing agreements, obtaining necessary signatures of executive management, and routing agreements to other party as well as to other Luxottica divisions Organizes and coordinates complex meetings and events as required.
Organizes and prioritizes daily administrative responsibilities, organizes multiple projects with the department executive leadership team; and ensures important matters receive top priority.
Accurately communicates relevant and potentially sensitive information to and from others, maintaining a high level of confidentiality and exercises good judgment.
Anticipates and follows up on requests and issues with a proactive, problem-solving approach.
Represents the business professionally and operates in a manner consistent with the Luxottica culture
3+ years paralegal experience
Advanced proficiency with Microsoft Office applications, Word, Excel, PowerPoint, Outlook and Visio. Strong emphasis on Excel and PowerPoint.
Strong organizational and prioritization skills, and ability to balance multiple tasks.
Strong project management skills.
Demonstrates a strong sense of urgency and is proactive
Ability to work independently and exercise sound judgment
Advanced grammar and English skills, Italian helpful
Professionally interfaces and communicates among executives and other internal and external high-level individuals
Creates an environment that fosters teamwork and trust.
Proactively communicates potential issues and reminders to executives and coworkers as appropriate.
